Voazok Ag Tours Booking Terms and Conditions

1. Acceptance of Booking Conditions

Please read these Booking Conditions carefully before registering. Payment of a deposit and submission of a registration form constitute acceptance of these terms and conditions.

2. Tour Pricing

Prices are based on transportation, accommodation, taxes, exchange rates, supplier charges, and other related costs.

Voazok can adjust prices due to foreign exchange fluctuations, fuel surcharges, airline operating costs, government taxes and fees, supplier price increases, and unforeseen operational expenses.

Voazok will communicate any applicable adjustments as reasonably possible.

3. Minimum Participant Requirements

All tours, study missions, trade missions, conferences, and summits are subject to minimum participant requirements.

If the minimum number of participants is not met, Voazok may cancel the programme and refund payments received, less any non-refundable third-party costs, or operate the programme at a revised price.

Participants will be notified as soon as possible.

4. Reservations and Deposits

Bookings are confirmed only after the completed registration form and required deposit have been received.

Participants will then receive receipts, booking confirmation, and relevant programme information.

5. Final Payment

Unless otherwise stated, final payment is due no later than sixty (60) days prior to departure.

Later bookings are subject to availability.

Failure to make the required final payment may result in cancellation and deposit forfeiture, subject to applicable supplier policies.

6. Currency Fluctuations

Pricing is based on exchange rates at the time the itinerary is published.

Significant fluctuations may result in price adjustments upward or downward.

Any applicable adjustments will be communicated before final payment.

7. Tour-Specific Payment Terms

Tours may have specific payment schedules, deposits, and cancellation terms. These take precedence over general provisions if inconsistent.

8. Changes to Bookings

Confirmed booking changes must be submitted in writing.

Voazok may charge administrative fees plus airline, hotel, transport, visa, event, or supplier charges.

Changes after final payment may have substantial costs and are subject to availability.

Unless stated otherwise, accommodation is based on twin-share arrangements.

Single supplements may apply.

Roommate matching assistance may be provided where possible, but responsibility lies with participants. Voazok accepts no responsibility for roommate compatibility.

10. Itinerary Changes

Voazok may modify the itinerary, accommodation, transportation, speakers, visits, or inclusions due to operational requirements, weather, safety, government regulations, supplier availability, or circumstances beyond its control.

Comparable alternatives will be provided whenever reasonably possible.

11. Travel Documents and Insurance

Participants are responsible for valid passports, visas, vaccination certificates, travel authorisations, and other required documents.

Visa refusal may qualify for a refund less USD $250 administrative processing fee and non-recoverable supplier costs.

Participants are strongly encouraged to obtain comprehensive travel insurance covering medical emergencies, trip cancellation/interruption, lost baggage, and personal liability.

12. Unused Services

No refunds, credits, or compensation will be provided for unused accommodation, meals, airport transfers, ground transport, technical visits, farm tours, conference sessions, networking, excursions, or sightseeing.

This applies whether due to participant choice, late arrival, illness, missed connections, documentation issues, or circumstances beyond control.

13. Limitation of Liability

Voazok acts as an intermediary between participants and independent service providers.

Voazok is not liable for injury, loss, damage, delay, inconvenience, additional expense, or disruption due to circumstances beyond reasonable control, including natural disasters, Acts of God, political unrest, pandemics, transportation disruptions, government actions, supplier failures, strikes, or industrial disputes.

Travel has inherent risks, and participants travel at their own discretion.

14. Accuracy of Program Information

Itineraries, brochures, websites, promotional materials, and other programme information are prepared in good faith and are accurate at the time of publication.

Details, pricing, accommodation, transport, speakers, site visits, and inclusions may change due to operational or unforeseen circumstances.

Voazok may amend the programme as necessary for successful delivery.

15. Intellectual Property

Itineraries, brochures, programme materials, photographs, and related content remain Voazok property.

Unauthorised reproduction, distribution, modification, or commercial use is prohibited without written consent.

16. Agreement

By submitting registration and paying the required deposit, the participant confirms they have read, understood, and accepted these Booking Terms & Conditions.

Where tour-specific terms apply, those terms take precedence over the general provisions where there is any inconsistency.

Deposit: USD $1,000 per participant upon registration.

Final Balance: Remaining program fees due no later than 60 days prior to departure; bookings not confirmed until deposit received.

Payment Schedule

  • US$1,000 deposit due by 4 September 2026 to secure place.
  • US$1,800 final balance due by 11 September 2026.
  • Departure 12 October 2026.

Cancellation & Refunds

Due to advance payments for flights, visa processing, accommodation, transportation, China-side programme arrangements:

  • US$1,000 deposit non-refundable once booking confirmed, except portion recoverable from suppliers.
  • Payments after final deadline non-refundable, subject to third-party supplier recovery.
  • If participant cancels/unable to travel, Voazok will make reasonable efforts to recover refundable amounts; recovered amount refunded after applicable non-recoverable costs and reasonable admin charges.

Participants are strongly encouraged to obtain comprehensive travel insurance covering cancellation, medical expenses, travel disruption, unforeseen circumstances.

Late Payment & Documentation

  • Failure to complete final payment by 11 September 2026 may result in cancellation and/or additional costs.
  • Increases in airfare, rebooking, supplier, accommodation, visa-related, and other expenses from late payment are borne by the participant.
  • Participants must provide all required documents within timelines communicated by Voazok.
  • Voazok will not be responsible for additional costs, delays, loss of availability, missed travel arrangements, or visa-related consequences resulting from late, incomplete, inaccurate, or inadequate participant documentation.

Priority of These Terms

These China Canton Fair Tour 2026-specific payment and cancellation terms take precedence over the general payment and cancellation provisions where there is any inconsistency between the two.
