1. Acceptance of Booking Conditions
Please read these Booking Conditions carefully before registering.
Payment of a deposit and submission of a registration form constitute acceptance of these terms and conditions.
2. Tour Pricing
All prices published by Voazok are based on transportation costs, accommodation rates, taxes, exchange rates, supplier charges, and other costs prevailing at the time of publication.
Voazok reserves the right to adjust prices without prior notice where increases occur due to factors beyond our control, including but not limited to:
- Foreign exchange fluctuations
- Fuel surcharges
- Airline operating costs
- Government taxes and fees
- Supplier price increases
- Other unforeseen operational expenses
Any applicable price adjustments will be communicated to participants as soon as reasonably possible.
3. Minimum Participant Requirements
All tours, study missions, trade missions, conferences, and summits are subject to a minimum number of participants.
If the required minimum participation level is not achieved, Voazok reserves the right to:
- Cancel the program and refund payments received, less any non-refundable third-party costs already incurred; or
- Operate the program at revised pricing based on the confirmed participant numbers.
Participants will be notified as early as possible if minimum participation requirements are not met.
4. Reservations and Deposits
A reservation is considered confirmed only when:
- A completed registration form has been received; and
- The required deposit has been paid.
Upon confirmation, participants will receive receipts, booking confirmation, and relevant program information.
5. Final Payment
Unless otherwise stated, final payment must be received no later than sixty (60) days prior to departure.
Bookings made after this date are subject to availability of flights, accommodation, transportation, and other program components.
Failure to make final payment by the specified deadline may result in cancellation of the booking and forfeiture of deposits, subject to supplier policies.
6. Currency Fluctuations
Program pricing is based on exchange rates prevailing at the time the itinerary is published.
Significant currency fluctuations may require adjustments to program pricing. Voazok reserves the right to increase or decrease prices accordingly. Any such adjustments will be communicated prior to final payment.
7. Tour-Specific Payment Terms
Unless otherwise stated, individual tours, study missions, trade missions, conferences, and events may have specific payment schedules, deposit requirements, and cancellation terms that apply in addition to these Booking Conditions.
Where a program includes tour-specific payment terms, those terms shall take precedence over the general provisions of these Booking Conditions in the event of any inconsistency.

Deposit and Balance Payment
- Deposit: USD $1,000 per participant upon registration.
- Final Balance: Remaining program fees are due no later than sixty (60) days prior to departureBookings are not considered confirmed until the required deposit has been received.
Participants are responsible for all bank transfer charges, currency conversion fees, and related transaction costs. All payments must be received in full by Voazok.
Singapore Cancellation Policy
All cancellation requests must be submitted in writing.
More than 60 days before departure
Deposit refundable less:
- USD $250 administrative processing fee; and
- Any non-recoverable supplier costs.
60–31 days before departure
- Deposit is non-refundable.
- Any unrecoverable supplier costs may also apply.
30–15 days before departure
- 50% of the total program fee is non-refundable.
- Any unrecoverable supplier costs may also apply.
Within 14 days of departure
- No refunds will be issued.
- Any applicable refunds remain subject to supplier refund policies and the recovery of funds from third-party service providers.
Participants are strongly encouraged to purchase comprehensive travel insurance.
8. Changes to Bookings
Requests to modify confirmed bookings must be submitted in writing.
Voazok reserves the right to charge administrative fees in addition to any charges imposed by airlines, hotels, transportation providers, visa agencies, event organizers, or other suppliers.
Changes requested after final payment may be subject to substantial additional costs and availability.
9. Accommodation
Unless otherwise stated, accommodation is provided on a twin-share basis.
Participants requesting single occupancy may be required to pay a single supplement.
Where roommate matching is requested, Voazok may assist in introducing participants; however, roommate arrangements remain the responsibility of the participants involved.
Voazok accepts no responsibility for compatibility issues between roommates.
10. Itinerary Changes
Voazok reserves the right to modify itineraries, accommodations, transportation arrangements, speakers, technical visits, site visits, or program inclusions where necessary due to:
- Operational requirements
- Weather conditions
- Safety considerations
- Government regulations
- Supplier availability
- Circumstances beyond our control
Comparable alternatives will be provided whenever reasonably possible.
11. Travel Documents and Insurance
Participants are responsible for obtaining and maintaining:
- Valid passports
- Entry visas
- Vaccination certificates
- Travel authorizations
- Any other documentation required for travel
If a visa application is refused, the participant may be eligible for a refund less a USD $250 administrative processing fee and any non-recoverable supplier costs.
Comprehensive travel insurance is strongly recommended and should include coverage for:
- Medical emergencies
- Trip cancellation
- Trip interruption
- Lost baggage
- Personal liability
12. Unused Services
No refunds, credits, or compensation will be provided for unused services, including but not limited to:
- Accommodation
- Meals
- Airport transfers
- Ground transportation
- Technical visits
- Farm tours
- Conference sessions
- Networking events
- Excursions and sightseeing activities
This applies whether the unused service results from participant choice, late arrival, illness, missed connections, documentation issues, or any circumstance beyond Voazok’s control.
13. Limitation of Liability
Voazok acts solely as an intermediary between participants and independent service providers, including airlines, hotels, transportation companies, conference venues, educational institutions, farms, local operators, and other suppliers.
Voazok shall not be liable for injury, loss, damage, delay, inconvenience, additional expense, or disruption resulting from circumstances beyond its reasonable control, including but not limited to:
- Natural disasters
- Acts of God
- Political unrest
- Pandemics
- Transportation disruptions
- Government actions
- Supplier failures
- Strikes or industrial disputes
Participants acknowledge that travel involves inherent risks and participate at their own discretion.
14. Accuracy of Program Information
All itineraries, brochures, websites, and promotional materials are prepared in good faith and are accurate at the time of publication.
Program details, pricing, accommodations, transportation arrangements, speakers, site visits, and other inclusions may change due to operational requirements or circumstances beyond Voazok’s control.
Voazok reserves the right to amend any aspect of the program where necessary to ensure successful delivery.
15. Intellectual Property
All itineraries, brochures, program materials, photographs, and related content remain the property of Voazok.
Unauthorized reproduction, distribution, modification, or commercial use of these materials is prohibited without prior written consent.
16. Agreement
By submitting a registration form and paying the required deposit, participants confirm that they have read, understood, and accepted these Booking Terms & Conditions.
